Terms and Conditions

Notice Archive collects personal information from the Notice Archive platform and City of Canada Bay Council for the sole purpose of fulfilling the provision of the Notice Services. The Notice Services are provided to the property owners or their authorised agents.

Our Privacy Policy describes how we manage personal information, including the kinds of personal information we collect, the purposes for which we collect personal information, and how we hold, use and disclose personal information. By using our products and services (including our website) or by providing your personal information to us, you agree to the terms of this Privacy Policy.

Certain sections of, or offerings from, Notice Archive may require you to register. If registration is requested, you agree to provide us with accurate, complete registration information. Your registration must be done using your real name and accurate information. Each registration is for your use only and on behalf of the stated entity.

We do not permit:

a) any other person using the registered sections under your name; or

b) access through a single name being made available to multiple users on a network.

You are responsible for preventing such unauthorised use. We will endeavour to ensure that the personal information it holds is accurate, complete, and up to date. We will systematically append and/or update any new personal information you provide to your existing customer record. This ensures that your customer record is complete and up to date. It is important that you make sure the personal information we hold about you is accurate, up to date and complete. If any of your details change or if you believe that any personal information, we have collected about you is inaccurate, you can update your contact details via your Notice Archive account or visit our website for contact information, and we will take reasonable steps to correct it in accordance with the requirements of the Privacy Acts.

This section details the specific terms and conditions applicable to subscribers who receive their rates notices electronically through Notice Archive or BPAY View.

  1. Future rates notices (including Rates and Charges Notices, Instalment Notices and reminders) will be sent to you via email after Notice Archive is registered. You will no longer receive your rates notices via other delivery channels such as post and BPAY View.
  2. Rates notices can be sent to multiple email addresses if you add them to your existing Notice Archive account. Please do not create a new Notice Archive account as it will only overwrite the previous one.
  3. When an authorised agent or managing agent requests council to direct future rates notices to their office, the existing Notice Archive registration will be suspended and the rates notices will no longer be sent to the property owner(s).
  4. Ownership changes and land description changes will automatically cancel the Notice Archive subscription. In order to receive rates notices via email again, please re-register.
  5. No further notification will be given after an Notice Archive account is cancelled or overwritten by another arrangement.
  6. The Notice Archive is deemed to have been received once it has been emailed to your nominated email address.
  7. You can cancel your Notice Archive registration by emailing to council@canadabay.nsw.gov.au. Please provide instructions on how the future rates notices should be sent. Without specific instructions the future rates notices will by default be sent to the most recent postal address known to council.
  8. Additional hard copies of the rates notices can be requested. Fees apply as per council’s Fees and Charges.
  9. In the event where the email failed to deliver or bounced back, a hard copy will be sent to the most recent postal address known to council instead. If the email delivery bounced more than once, your Notice Archive arrangement may be cancelled and the future notices will be sent via post.
  10. Relevant correspondence may also be posted to the last recorded postal address in the event of debt recovery action.

Managing Agents

The managing agent will be subject to the following additional terms and conditions:

  1. All requests relating to rates notice delivery changes (add or remove) must be sent via email to council@canadabay.nsw.gov.au.
  2. Rates notices are issued approximately a month before the quarterly due dates. If you have not received the rates notice copies for all the properties you manage in City of Canada Bay, please contact council as soon as possible.
  3. Due to attachment size issues, the rates notice copies are emailed to the major managing agents in the format of a compressed 7-zip (.7z) file. You may need to download a free tool to extract the notices. Please contact council if assistance is required.
